Truck tracking: the four additions

The checks we run already line up close to NFPA 1910. These four build on them. Start here for the roadmap; open any piece for the how.

Four additions, built on the maintenance tracking already in the app. Here's each one, and the order we'd get them done.

The roadmap

Inventory one rig, by compartment.Walk a single truck, photo and log each compartment. Proves the format against real gear before we scale.

Roll the gear list across the fleet.Equipment list done. The Gear Locator and the present-check go live in the app.

Stand up pump-test records.Decide in-house vs contract, then log the annual results per truck.

Wire the live spreadsheet.The app feeds a Google Sheet, one tab per truck, always current.

Switch on life-cycle projection.Once pump and maintenance history is there, replacement dates populate on each truck's page.
Every record here is also what ISO wants documented, so this work feeds our rating. There's bigger ISO upside on the water-supply side too, that's its own plan.

How we do it · Equipment

The gear list, by compartment

Nobody has a full gear list per truck right now. We build one by walking each rig, and that single dataset does double duty.

The work

Walk each rig compartment by compartment: an overhead photo, plus a labelled list of what's in each compartment and roughly where (lower / middle / upper).

The feature's already designed (the tool locator). It's blocked on this data, nothing else. Start with one rig so it's built against real compartments.

What that one list powers

  • Gear Locator. A member searches "irons" or "spare SCBA" and the app shows the truck, the compartment, and the height.
  • Present-check. The same list doubles as the is-it-all-here inventory for NFPA and ISO.

How we do it · Pump Tests

Documented pump tests

The test doesn't change. What's new is the app holding every result per truck, year over year, and flagging due dates and failures.

Gauge kit about $955, a full setup about $3,700, plus recalibration. Across nine rigs, buying can pay for itself in a couple years if we want it in-house.

The annual pump test is one of the records ISO expects. Kept in the app, it's retrievable at rating time instead of on paper that walks off.

How we do it · Spreadsheet

One live spreadsheet per truck

The data already comes off the checks. We keep the app as the source of truth and push it out to the RVFD Google Sheets, so anyone can just open it and look.

How it flows

  • Checks feed the app. Every truck check, pump test, and inventory already lands in one place.
  • The app pushes to the RVFD Google Sheets. One tab per truck, updated automatically, always current.
  • Look anywhere. On each truck's page in the app, or in the Sheet, same numbers.

Why the app stays canonical

If a Sheet is where people type, it drifts from what's in the app. Keeping the app as the source of truth and letting the Sheet reflect it means one set of numbers, and the Sheet can't fall out of sync.

How we do it · Life-Cycle

Replacement dates, projected per truck

Each truck's page rolls its history into a projected replacement date, and the case that goes to the board with it.

What it weights

Not age alone. Three signals together, so a sound old rig and a failing one read differently.

The service window as a reference. The app flags it, the trends decide.

What it gives you

When you go to the board for a rig, the case is already built: test results trending down, repair costs trending up, past the service window. Stronger than "it's old."

This one comes last because it needs the pump-test and maintenance history to mean anything.
